Planning Programming

The working groups are responsible for planning various aspects of the Equal Justice Conference, including conference programming. You can read the descriptions of the various working groups and their respective missions here.

Timeline

The Working Group Leaders conference planning timeline contains major milestones and deadlines. Please reference the timeline for important dates to provide to working group members and session developers. It is important to submit all information in a timely manner.

Proposal and Development Forms

Please submit workshop proposals, titles, descriptions, panelist information, biographies, scheduling conflicts and waiver/reimbursement requests through our online forms.

Guide to Developing EJC Workshops

Once you have been assigned your workshops, use this guide to collaborate with the presenters to meet deadlines and provide a valuable experience for attendees.

Workshop Titles and Descriptions

Working groups submit workshop titles and descriptions to staff-only site Monday,  December 4, 2023.

If the workshops you are coordinating are based on proposals the Conference Workgroups have accepted as proposed, you most likely will not need to submit a title or description change. You can just email the workshop title and description from the proposal to the presenters and ask them to let you know if they want any changes before the deadline.

If, however, you have workshops that are the result of merged or expanded proposals or are newly added and don’t have a proposal document, the presenters will have to create a new title and description. If you have ideas for a title or description, you can draft a suggested title and description and email it to the presenters for editing. Once you have refined the title and description, submit it on the staff-only page.

Presenter Information

Presenter names, contact information, bios, and schedule conflicts are now PAST due. Panelist names, contact information and bios should be submitted to EdHarvester by the panel. Schedule conflicts must be submitted via the form through the staff page. Please be sure to meet this deadline as scheduling of sessions requires us to have all presenter information; we cannot start scheduling until everything has been submitted.

Find out from each of your presenters which, if any, other workshops they are scheduled to participate in. Also, find out if they have other conflicts such as late arrival or early departure from the Conference. Submitting that information on the staff-only page will enable Conference planners to schedule the workshops.

March 13, 2024: all presenters must be registered for the conference. Presenters who will only participate in one panel can request a Workshop Only Waiver; please submit the request through the staff forms. A limited number of partial and full registration waivers are available; these must be requested through the staff forms with reason for request and will be reviewed by the EJC planners on a rolling basis. After review, notification of the decision will be provided. 

Friday, April 19, 2024: Materials and speaker release forms are due. These are critical for CLE accreditation, so please be sure this deadline is met.

Session Planning

Approximately a month before the materials deadline is a good time to set up a conference call with the presenters for each of your workshops. On the call, the presenters need to decide:

  • The structure and flow of the workshop;
  • Who will moderate;
  • The time allotted to each topic and presenter;
  • Time for audience questions and participation
  • AV use
  • Preparation of session materials

Some presenters may have solid ideas of how they want the workshop to unfold; other groups may need substantial input from the coordinator. You can utilize this call to promote interaction and audience participation as part of the workshop design. The workshop can often be divided into topics which each of the presenters can address and discuss interactively with the audience and each other rather than have a serial presentation by each panelist.

  • If the presenters plan to use slides, suggest they read theses tips for creating and delivering an effective presentation. It is good to get the presenters to send their slides to you or a designated panelist to integrate the slides into one presentation and decide who will load it and bring his laptop to the workshop.

Laptops are not provided by the Conference. Presenters must provide their own if their presentation requires a laptop. Only laptops with VGA and HDMI connections are compatible.

Speaker Waivers

  • March 13, 2024: speaker waivers are due. Before this date, you should have found out from your presenters if they need a waiver to attend the conference and the reason for the request. Though limited in number and amount, the following waiver options are available:

    Partial fee waiver (panelist will pay registration fee = $225)
    Full fee waiver (Full coverage of registration fees)
    Reimbursement of expenses not to exceed $500
    Workshop only: If the presenter is only attending to participate in this workshop and is not attending any other workshop sessions/meals.

Speaker Release Forms

Speaker release forms are required to present at the 2023 Equal Justice Conference, even if you do not submit materials.  Speaker Release Forms must be submitted by Friday, April 19,  2024

Materials Protocols and Procedures 

Please follow the instructions below to ensure session materials are created, submitted, and posted for Equal Justice Conference attendee use. 

Duplicating and Submitting Materials

All confirmed presenters will a DropBox  invitation to share conference materials. Presenters will have 30 days to upload a copy of these materials to Dropbox. Please note that it is critical to submit materials in order to obtain CLE accreditation.

Session presenters will be responsible for making and bringing copies of materials to workshops if they would like them to be distributed onsite. We recommend preparing 50 copies of all session materials for distribution. 

Should a presenter need to submit additional materials post-conference, they will be accepted through Tuesday, May 23, 2023. Materials will be posted to the Conference website if a speaker release form is received.
